JOB DESCRIPTION
SUMMARY: Under the direction of the Sheriff and Chief Deputy provides a variety of administrative support services and assistance to the Sheriff and Chief Deputy.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by the Sheriff and/or Chief Deputy.
Act as confidential secretary to the administration; perform clerical duties relating to personnel and confidential matters related to discipline or the consideration of discipline.
Assist Sheriff and Chief Deputy in development and maintenance of the budget, evaluate, monitor and analyze expenditures to assure administrative goals and policies are met, report budgetary issues to the administration for review.
Assist in compiling, maintaining, and updating Policies and Procedures.
Collect information and prepare technical reports and statistical data for the Sheriff and Chief Deputy, assist in writing and submitting grant applications and perform necessary follow-up and file maintenance.
Maintain petty cash fund, within confines of policy, disburse and replenish funds as needed.
Collect accounts receivable as directed, and insure that the funds are deposited in the County Treasury on a weekly basis, provide the Chief Deputy with receipts and remittance forms for all funds deposited.
Oversee Central Purchasing; examine weekly order, evaluate needs and ascertain if budgetary limits are observed. Exercise discretion to approve, change, add or delete items that do not meet guidelines or restraints that have been provided. Maintain contact with Central Purchasing for special orders and needs, problems, billing, etc.
Manipulate and maintain telephone system database, program and trouble-shoot equipment, determine service needs and maintain contact with telephone company. Generate telephone usage reports as requested.
Utilize specialized software to generate security access to law enforcement facilities, issue and delete security cards, manipulate and maintain security system database.
Collect and sort, prepare, and deliver department mail on a daily basis.
Act as the Sheriff and Chief Deputy’s liaison with the Law Enforcement Committee. Act as recording secretary for the Committee, prepare and post agenda, record and file minutes of meetings. Prepare materials for meetings including vouchers, line items transfers, budget information and any other form or report as required by the Sheriff.
Assist Civil Service Commission in scheduling interviews, up-dating and processing of applications, schedule applicant testing, collect and deposit fees, assure invoices are paid. Maintain the Commission’s budget, prepare and pay invoices as needed.
Research vendors and supplies to obtain quotations for equipment, prepare and send purchase orders, verify shipping information, and invoice accuracy. Make contact as needed to correct problems.
Any other duty as assigned by the Sheriff and Chief Deputy.

Knowledge of office procedures, policies, terminology and equipment.
Knowledge of Accounting, English, Math, Typing or Keystroking
Proficient use of word processing and spreadsheet software, and network applications
Ability to research, compile, analyze and report data clearly
Ability to initiate and complete projects and programs
Ability to work independently without direct supervision
EDUCATION and/or EXPERIENCE
*High School Degree
*Two year post high school education with course work in Accounting, Administrative
Assistance, and secretarial and office skills.
*Minimum one year work experience in office environment
*Prior Law Enforcement experience desirable.

Requires excellent verbal and written communication skills
MATHMEMATICAL SKILLS
Requires good mathematical skills
REASONING ABILITY
Requires the ability to evaluate data and statistics and translate into a format which meets the needs and requirements of management.
